This Privacy Policy explains how we collect, use, share and protect personal information when you visit our website, create an account, make a purchase, join our Loyalty Club, use our workshop, make a booking, attend an event, subscribe to our newsletter or otherwise interact with us.

2. Information we collect


Depending on how you interact with us, we may collect:

- Information about RC models or other items left in our care.
- Appointment, activity and event bookings.

We do not normally receive or store your complete payment-card details. Card and digital-payment information is processed by the payment provider selected when payment is made.

3. How we collect information


We may collect personal information:

- Directly from you when you create an account, place an order, make a booking, contact us, subscribe to the newsletter or join the Loyalty Club.
- When you visit our premises or leave an item with our workshop.
- Through workshop, event, emergency-information and media-permission forms.
- Through our website and permitted cookies or similar technologies.
- Through email, telephone, social media or other communications.
- From payment providers, banks, couriers, suppliers and other organisations involved in completing your transaction or providing a requested service.
- From another person making a booking or purchase on your behalf.
- From publicly available sources where it is reasonable and lawful to do so.

If another person provides information about you, they should have your authority to do so.

4. How and why we use information


We only use personal information where we have a lawful reason.

Customer accounts and orders

We use information to:

- Create and administer customer accounts.
- Process orders, payments, deliveries and collections.
- Provide order updates and customer support.
- Manage returns, refunds, warranties and complaints.
- Arrange Supplier Available, special-order or distributor-fulfilled products.
- Maintain appropriate sales and contractual records.

Our usual lawful bases are taking steps at your request, performing our contract with you, meeting legal obligations and our legitimate interests in operating and protecting the business.

Payments and subscriptions

Depending on the payment method selected, payments may be processed through:

- Bank transfer to our NatWest business bank account.
- Stripe.
- Klarna, where offered through our payment arrangements.

These providers receive and retain information necessary to process, confirm, refund and protect payments.

Where you purchase a recurring membership or subscription, Stripe may retain payment identifiers, subscription status and related transaction information so that future payments can be collected and managed. Eason's RC does not normally receive your complete card details.

Klarna may conduct its own identity, fraud-prevention, eligibility, credit or affordability assessments where its payment service is selected. Klarna is responsible for explaining any processing it carries out independently under its own privacy information.

Payment providers may also process information to meet their own legal, regulatory, security and fraud-prevention obligations.

Our usual lawful bases are performing our contract, complying with legal obligations and our legitimate interests in preventing fraud and maintaining accurate payment records.

Workshop, repair and build services

We use information to:

- Assess and book workshop work.
- Prepare quotations and obtain approval.
- Record faults, inspections, work completed and parts used.
- Contact you about progress, additional work, payment and collection.
- Manage service complaints, warranties and disputes.
- Protect and identify items left in our care.

Our usual lawful bases are taking steps at your request, performing our contract and our legitimate interests in maintaining appropriate service and workshop records.

Loyalty Club, discounts and vouchers

We use information to:

- Administer memberships, levels, points and benefits.
- Apply eligible discounts and event benefits.
- Issue and redeem rewards, gift cards and vouchers.
- Provide member-only or early-access opportunities.

Our usual lawful bases are performing our membership contract and our legitimate interests in operating the scheme fairly and securely.

Events, workshops and community activities

Workshop and event forms may include an optional field allowing you to tell us about health, medical, accessibility or support needs that we may reasonably need to know about in an emergency or when supporting your participation.

Providing this information is voluntary. Please provide only information relevant to your safe participation or support requirements.

Because health information is special-category personal data, we will normally process information voluntarily entered in this field on the basis of your explicit consent, together with the ordinary lawful basis applicable to the booking or activity.

In a genuine emergency, we may use relevant information where necessary to protect someone's vital interests, particularly where that person is physically or legally unable to provide consent.

Health and support information will:

- Be restricted to people who reasonably need access.
- Not be used for marketing.
- Not normally be shared with other participants.
- Only be shared with venues, emergency services or appropriate event personnel where necessary for safety, support or an emergency.
- Be deleted when no longer reasonably required, subject to any accident, safeguarding, insurance or legal record that must be retained.

You may withdraw consent for non-emergency processing by contacting us, although this may affect our ability to provide particular support or safely accommodate participation.

Customer service

We use information to:

- Improve our services and customer care.

Our usual lawful bases are performing our contract and our legitimate interests in providing effective customer service.

Newsletter and marketing

Creating a website account does not automatically subscribe you to our newsletter.

You will only be added to the newsletter mailing list where you separately choose to subscribe or another lawful electronic-marketing basis applies.

We may use your contact details to send information about products, offers, events, Loyalty Club benefits and Eason's RC news where:

- You have given valid consent; or
- The law permits us to contact an existing customer about our own similar products or services and we provided the required opportunity to opt out.

Every marketing email will provide an unsubscribe facility.

When someone unsubscribes or objects to marketing, we may retain their email address on a blacklist or suppression list. This is not used to continue marketing; it allows us to ensure that the person's preference continues to be respected.

Unsubscribing from marketing will not prevent essential communications about an order, payment, subscription, booking, membership, workshop service, safety issue or other service you requested.

Website, cookies and security

We may use technical information to:

Legal and business administration

Newsletter subscription, media permission and optional health information are not conditions of making an ordinary retail purchase.

6. Who we share information with


Where necessary, we may share limited information with:

- Odoo and providers supporting our website, ecommerce, CRM, customer accounts, helpdesk and business administration.
- NatWest in connection with bank transfers and banking services.
- Stripe, Klarna and Viva.com in connection with payments, refunds, subscriptions, fraud prevention and transaction management.
- Couriers, delivery companies and collection services.
- Suppliers or distributors where necessary for special orders, direct delivery, warranties or technical support.
- Email, newsletter and communications providers.
- Website hosting, security, analytics and IT-support providers.
- Accountants, insurers, legal advisers and other professional advisers.
- Event venues, officials and service providers where necessary to deliver a booking or operate an activity safely.
- Emergency services where necessary.
- Police, courts, regulators, HM Revenue & Customs and other authorities where disclosure is required or permitted by law.
- A purchaser or relevant adviser if the business or its assets are reorganised, transferred or sold.

We do not sell personal information.

Service providers are only given information reasonably required to perform their services. Some providers may also act as independent data controllers when meeting their own legal, regulatory or fraud-prevention responsibilities.

7. International transfers


Some technology, payment, website or communication providers may process information outside the United Kingdom.

Where a restricted international transfer takes place, we will take reasonable steps to ensure that an appropriate safeguard is used. This may include:

- UK adequacy regulations.
- The UK International Data Transfer Agreement.
- The UK Addendum to approved standard contractual clauses.
- Another safeguard permitted under UK data-protection law.

8. How long we keep information


We retain information only for as long as reasonably necessary for the purpose for which it was collected, including contractual, accounting, legal, insurance and dispute requirements.

Our usual approach is:

- Order, payment, invoice, refund and accounting records: normally six years after the relevant accounting period.
- Workshop, repair, warranty and contractual records: normally up to six years after completion, or longer where an unresolved claim requires it.
- Customer accounts: while active and then periodically reviewed for deletion or anonymisation, except for records we must retain separately.
- Loyalty Club and subscription records: for the membership period and afterwards where required for accounting, dispute resolution or fraud prevention.
- General enquiries that do not lead to a transaction: normally up to 12 months after the last meaningful contact.
- Newsletter records: until you unsubscribe, withdraw consent or the mailing list is no longer used.
- Blacklist and suppression records: minimal information may be retained for as long as needed to respect an unsubscribe or objection.
- Routine event and booking records: for as long as needed to administer the activity and meet accounting or insurance requirements.
- Optional health or support information: normally deleted within 30 days after the relevant activity unless required for an incident, safeguarding matter, insurance issue or legal claim.
- Accident, incident or safeguarding records: according to the nature of the incident and applicable legal or insurance requirements.
- Media-permission records: while the relevant media remains in use and for a reasonable period afterwards to demonstrate the permission obtained.
- Photographs and videos: until permission is withdrawn where consent applies, or until the material is no longer reasonably required.

We may retain information for longer where required by law, an insurer, a regulator or an ongoing dispute or legal claim.

9. Children and young people


Eason's RC is a family-friendly business, and children may participate in some events, activities and community content.

We aim to collect as little information about children as reasonably possible.

Where appropriate:

- A booking should be made or approved by a parent or guardian.
- Emergency, health and support information will be restricted to what is reasonably necessary.
- Information will be explained in age-appropriate language.
- The child's best interests and wishes will be considered.
- We will not knowingly send direct marketing to a child without an appropriate lawful basis.
- A separate parent or guardian media-permission form will be required before publishing identifiable photographs or videos of a child.

Parents, guardians and young people may contact us about information held by Eason's RC.

10. Photographs, videos and community content


We provide a media-permission form before using identifiable photographs or videos of customers or participants for promotional or community purposes.

An additional parent or guardian permission form is used for children.

Signing a booking or attending an event does not automatically grant media permission. A person who does not provide permission should not be deliberately featured in identifiable promotional content.

Where consent is used, it may be withdrawn for future use by contacting us. We will stop new use and take reasonable steps to remove the material from channels under our control.

Withdrawal does not make earlier lawful use invalid, and we may be unable to remove copies already shared, downloaded or republished by other people or third-party platforms.

Customer photographs, reviews or project information sent to us will not automatically be treated as permission for promotional use.

11. Automated decisions


We do not currently use personal information to make solely automated decisions that produce legal or similarly significant effects.

Our systems may automatically perform routine functions such as:

- Calculating Loyalty Club points.
- Applying eligible discounts.
- Processing subscription payments.
- Carrying out payment-security or fraud checks.

Payment providers may carry out their own automated checks under their respective privacy information.

12. Protecting information


We use proportionate technical and organisational measures to protect personal information against loss, misuse, unauthorised access, alteration or disclosure.

These measures may include:

- Password and account-access controls.
- Restricted access to health and support information.
- Secure payment providers.
- Software and security updates.
- Appropriate backups.
- Careful selection of service providers.
- Procedures for responding to suspected data incidents.

No internet-based system can be guaranteed completely secure, but we take reasonable steps to protect the information entrusted to us.

13. Your rights


Depending on the circumstances, you may have the right to:

We may update this Privacy Policy when our services, systems, providers or legal obligations change.

The latest version will be published on our website with its revised date. Where a change materially affects how we use personal information, we will take reasonable steps to bring it to the attention of affected customers.
